AJ Associates (“the Firm”, “we”, “us”) is committed to protecting the personal data of visitors, prospective clients and applicants (“Data Principals”). This Privacy Policy explains what personal data we process through ajassociatesonline.com (“the Website”) and in our communications with you, why we process it, and the rights available to you under the Digital Personal Data Protection Act, 2023 (“DPDP Act”). By using the Website or submitting your details, you acknowledge this Policy.

Personal data we process
- Identity and contact data: name, mobile number and email address.
- Request and application data: the service you enquire about, appointment preferences, your message, and any documents or details you choose to share.
- Communications: records of correspondence with us.
- Technical and usage data: IP address, device and browser type, pages viewed, the path taken through the Website before contacting us, referral source and access timestamps, collected for security and operational purposes.
We do not request passwords, one-time passwords (OTPs), card details or online banking credentials. Please do not share them with us.
Purposes and lawful basis
We process personal data on the basis of your consent, and for the legitimate uses permitted under the DPDP Act, for the following purposes:
- responding to enquiries and scheduling appointments;
- providing and administering our professional services;
- assessing job applications and collaboration proposals;
- complying with applicable tax, accounting, corporate and professional obligations;
- preventing fraud and unauthorised access, and maintaining the security and performance of the Website; and
- establishing, exercising or defending legal claims.
We do not sell personal data and we do not use it for third-party advertising.
Disclosure and Data Processors
We share personal data only where necessary: with Data Processors that support our operations under written confidentiality and security obligations; with professional advisers bound by a duty of confidentiality; with government, tax or regulatory authorities where required by law; and with a successor to our practice in the event of a restructuring, subject to equivalent protection. Some Data Processors may process data on servers outside India, in which case we take reasonable steps to ensure it remains protected, in accordance with applicable law.
Cookies and third-party content
The Website does not use advertising or tracking cookies. Embedded third-party content, such as maps, may set its own cookies or collect technical data when loaded, and links to third-party platforms are governed by their own privacy policies. We are not responsible for third-party practices.
Retention and erasure
We retain personal data only for as long as necessary for the purpose for which it was collected, and for any further period required by tax, accounting, corporate or professional regulations. Enquiries that do not result in an engagement are retained for a limited period and then erased. Data that is no longer required is securely deleted or anonymised.
Security and breach notification
We maintain reasonable technical and organisational safeguards, appropriate to the nature of the data, against unauthorised access, alteration, loss or disclosure, and restrict access to those who need it. No method of electronic transmission or storage is completely secure. In the event of a personal data breach affecting you, we will notify you and the Data Protection Board of India as required by law.
Your rights
As a Data Principal, you have the right to:
- obtain a summary of the personal data we process and our processing activities;
- request correction, completion, updating or erasure of your personal data;
- withdraw your consent at any time, without affecting processing already carried out;
- have readily available means of grievance redressal; and
- nominate another person to exercise these rights on your behalf in the event of your death or incapacity.
To exercise any of these rights, write to info@ajassociatesonline.com. We may need to verify your identity first, and some records may have to be retained to meet legal obligations, in which case we will tell you.
Children
The Website is intended for adults and business users. We do not knowingly process the personal data of persons under 18 years of age. If you believe a child has provided us with personal data, please contact us and we will erase it.
Grievance redressal
Any concern or complaint about the processing of your personal data, the Website or our services may be sent to the Grievance Officer, AJ Associates, at the address above, by email to info@ajassociatesonline.com, or by telephone to +91 62824 06091. Please include your name, contact details and a description of the matter.
We acknowledge complaints within 7 days of receipt and endeavour to resolve them within 30 days. If you remain dissatisfied, you may approach the Data Protection Board of India or any other authority with jurisdiction under applicable law.
Changes to this Policy
We may revise this Policy to reflect changes in law or practice. The revised version takes effect on publication, and the date above shows when it was last updated. This Policy is governed by the laws of India, and the courts at Kochi, Kerala have jurisdiction.
